KSeF for Uber, Bolt and Freenow drivers - what changed in 2026

KSeF (Krajowy System e-Faktur), Poland’s National e-Invoicing System, is no longer just an announcement. Since 2026, companies in Poland have been issuing invoices in it, and since 1 February 2026 all companies have been receiving invoices through KSeF. For an Uber, Bolt or Freenow driver who settles with Ramnext, little changes: you add expense invoices just as before, in the app or in the panel.

Below we explain when KSeF became mandatory, how to recognise a KSeF invoice and how to add it with us.

KSeF - in brief

1 February 2026the largest companies (sales of over 200 million zł in 2024) issue invoices in KSeF, and all companies receive invoices through KSeF.
1 April 2026all other companies issue invoices in KSeF.
Until the end of 2026a company whose invoiced sales do not exceed 10 000 zł gross a month may still issue invoices outside KSeF.
Private individualsinvoices for people who do not run a business do not have to be issued in KSeF.
At Ramnextyou add an expense invoice in the app or in the panel and choose "KSeF invoice" or "Standard".

What is KSeF?

KSeF is the Ministry of Finance’s nationwide system for issuing and receiving invoices. An invoice issued in KSeF is given a KSeF number, and its printout or PDF has a QR code that can be used to check it in the system.

When is KSeF mandatory?

According to the Ministry of Finance:

  • from 1 February 2026 invoices in KSeF are issued by companies whose sales in 2024 exceeded 200 million zł, and all companies receive invoices through KSeF,
  • from 1 April 2026 all other companies issue invoices in KSeF,
  • until the end of 2026 a company whose invoiced sales do not exceed 10 000 zł gross a month may still issue paper invoices or electronic invoices outside KSeF,
  • invoices for private individuals who do not run a business do not have to be issued in KSeF.

What does KSeF change for Uber, Bolt and Freenow drivers?

You drive on a mandate contract

On a mandate contract you do not issue invoices, so you do not need access to KSeF. KSeF only concerns you as the place where your expense invoices for fuel, car washes or servicing come from. Some sellers already issue invoices in KSeF, others still issue traditional ones – at Ramnext we accept both types.

You settle with us on an invoice basis (B2B)

As a company you issue invoices, so the KSeF obligation applies to you on the dates described above. The Ministry of Finance explains how to get access to the system on its page Step by step – how to get access to KSeF.

How do I add a KSeF invoice at Ramnext?

  • Choose the invoice type – “KSeF invoice” if the invoice has a QR code, or “Standard” for a traditional invoice.
  • Add a photo or PDF of the whole invoice. All four corners of the document must be visible in the photo – without a photo the invoice will not be accepted.
  • Check the details: the seller’s NIP (tax ID), the invoice number, the date of sale, the gross amount and the VAT rate. For a KSeF invoice the app can read the QR code and fill in some of the details, and it suggests the seller based on the NIP.
  • Send the invoice – you will then find it on your list of invoices.

We accept invoices from the current month and, until the 7th day of the month, also from the previous month. Next to the form there is a voice-guided tutorial that shows you step by step what to enter.

Why is it worth adding expense invoices?

Half of the VAT on every expense invoice reduces the VAT you have to pay, i.e. 8% on passenger transport and 23% on other income. In addition, the full gross amount of the invoice reduces the base on which we calculate the 8.5% flat-rate tax.

Your settlement with Ramnext costs a fixed 45 zł, with no percentage commission. Your invoices, balance and payouts are all in the Ramnext app for Android and iPhone.

KSeF - frequently asked questions

A short guide to the KSeF deadlines and to how Uber, Bolt and Freenow drivers add expense invoices at Ramnext.

1. Does a driver on a mandate contract have to do anything in KSeF?+
No. On a mandate contract you do not issue invoices, so you do not need access to KSeF. You add expense invoices for fuel, car washes or servicing in the Ramnext app or panel, just as before.
2. When is KSeF mandatory?+
From 1 February 2026, invoices in KSeF are issued by companies whose sales in 2024 exceeded 200 million zł, and from 1 April 2026 by all other companies. Until the end of 2026, a company whose invoiced sales do not exceed 10 000 zł gross a month may still issue invoices outside KSeF.
3. Can I still add an ordinary invoice?+
Yes. Some sellers issue invoices in KSeF and some still issue traditional ones. In the form you choose "Standard", add a photo of the whole invoice and fill in the details.
4. How do I recognise a KSeF invoice?+
An invoice issued in KSeF has a QR code. In that case you choose "KSeF invoice" in the form, and the app can read the QR code and fill in some of the details.
5. Until when can I add an expense invoice?+
We accept invoices from the current month and, until the 7th day of the month, also from the previous month. For example, you can add invoices from May until 7 June.
6. Does a driver on B2B have to issue invoices in KSeF?+
The obligation to issue invoices in KSeF applies to companies: from 1 April 2026 to all remaining taxpayers, and until the end of 2026 it does not apply to companies with invoiced sales of up to 10 000 zł gross a month. You will find details and access to the system at ksef.podatki.gov.pl.

Summary

KSeF has been in force since 2026, but for a driver on a mandate contract little changes: you add expense invoices in the Ramnext app or panel, as a “KSeF invoice” or a “Standard” invoice. A driver on B2B issues invoices as a company, so the KSeF obligation applies to them on the Ministry of Finance’s dates.
